Time Card Calculator
Add up the hours on your weekly time card. Enter clock-in and clock-out times and unpaid breaks for each day, and get total hours worked in hours and minutes and in decimal hours, with overtime and gross pay if you add your hourly rate. Overnight shifts are handled automatically.
Gross pay is before taxes. See your take-home pay with the paycheck calculator.
How to calculate hours worked on a time card
Work out each day on its own, then add the days together. For a full walkthrough with borrowing minutes, overnight shifts and which breaks must be paid, read our guide on how to calculate hours worked.
Example: you clock in at 8:00 AM and out at 5:30 PM with a 30-minute unpaid lunch. That is 9 hours 30 minutes on the clock, minus 30 minutes, or 9 hours a day. Five days like that add up to 45 hours.
At $22 an hour, the first 40 hours pay 40 × $22 = $880. The 5 extra hours are overtime at $33 an hour (1.5 × $22), which adds $165. Gross pay for the week is $1,045. To see how overtime is figured in more detail, read how to calculate overtime pay, or check one week with the overtime pay calculator.
The easiest way to avoid mistakes with AM and PM is to use 24-hour time: 5:30 PM is 17:30. Then 17:30 − 8:00 = 9:30. If the clock-out time is smaller than the clock-in time, the shift crossed midnight, so add 24 hours first.
Minutes to decimal hours chart
Payroll systems use decimal hours, so 7 hours 45 minutes is entered as 7.75, not 7.45. Divide the minutes by 60, or use this chart:
| Minutes | Decimal | Minutes | Decimal |
|---|---|---|---|
| 1 min | 0.02 | 35 min | 0.58 |
| 5 min | 0.08 | 36 min | 0.60 |
| 6 min | 0.10 | 40 min | 0.67 |
| 10 min | 0.17 | 42 min | 0.70 |
| 12 min | 0.20 | 45 min | 0.75 |
| 15 min | 0.25 | 48 min | 0.80 |
| 18 min | 0.30 | 50 min | 0.83 |
| 20 min | 0.33 | 54 min | 0.90 |
| 24 min | 0.40 | 55 min | 0.92 |
| 25 min | 0.42 | 59 min | 0.98 |
| 30 min | 0.50 |
A common mistake is writing 8 hours 30 minutes as 8.3. It is 8.5. At $20 an hour, that error costs you $4 on a single day.
Time clock rounding rules
Federal rules let employers round punches to the nearest 5 minutes, 6 minutes (a tenth of an hour) or 15 minutes, as long as the rounding goes both ways and averages out over time. Under the common 7-minute rule for quarter-hour rounding:
- Clocking in at 7:53 to 8:07 counts as 8:00.
- Clocking out at 5:08 counts as 5:15, and 5:07 counts as 5:00.
Use the rounding buttons in the calculator to see the hours your employer’s system would record, and compare them with your exact punches.
Overtime rules: federal and California
| Rule | Time and a half (1.5×) | Double time (2×) |
|---|---|---|
| Federal (FLSA), most states | Hours over 40 in a workweek | Not required |
| California, daily | Over 8 hours in a day | Over 12 hours in a day |
| California, weekly | Regular hours over 40 in a week | — |
| California, 7th straight day | First 8 hours | Hours over 8 |
Alaska, Nevada and Colorado also have daily overtime rules with their own conditions. Paid holidays, vacation and sick time usually do not count toward the 40 hours unless your employer’s policy says so. Live in Nevada? The Nevada paycheck calculator shows take-home pay with no state income tax.
Turn your hours into a yearly number
Once you know your weekly hours, you can see what they add up to over a year. The hourly to salary calculator converts your rate and hours into yearly, monthly and biweekly pay, and the paycheck calculator shows what is left after federal tax, Social Security, Medicare and state tax. Frequently asked questions
How do I calculate hours worked on a time card?
For each day, subtract the clock-in time from the clock-out time, then subtract any unpaid break. For example, 8:00 AM to 5:30 PM is 9 hours 30 minutes; minus a 30-minute lunch, that is 9 hours. Add up the days for the weekly total, and convert the minutes to decimal hours by dividing by 60.
How do I convert minutes to decimal hours for payroll?
Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.50, 45 minutes is 0.75 and 20 minutes is 0.33. So 7 hours 45 minutes is 7.75 hours. Multiply decimal hours, not hours:minutes, by the hourly rate to get pay.
Is a lunch break counted as hours worked?
Under the federal Fair Labor Standards Act, a bona fide meal break of usually 30 minutes or more, when you are fully relieved of duty, does not have to be paid. Short rest breaks of about 5 to 20 minutes are counted as hours worked and must be paid.
When does overtime start?
Under federal law, non-exempt employees earn at least 1.5 times their regular rate for hours over 40 in a workweek. A few states add daily overtime. California, for example, requires time and a half after 8 hours in a day and double time after 12 hours.
Can my employer round my time clock punches?
Yes, federal rules allow rounding to the nearest 5 minutes, tenth of an hour (6 minutes) or quarter hour (15 minutes), as long as it is neutral and averages out over time. With 15-minute rounding, 1 to 7 minutes rounds down and 8 to 14 minutes rounds up.
How do I calculate hours for an overnight shift?
If the clock-out time is earlier than the clock-in time, the shift crossed midnight. Add 24 hours to the clock-out time before subtracting. A shift from 10:00 PM to 6:30 AM is 8 hours 30 minutes. This calculator handles overnight shifts automatically.
This calculator is for estimates and personal record-keeping. Your employer’s payroll rules, state law and union contracts may count hours, breaks and overtime differently. For federal rules, see the U.S. Department of Labor’s guidance on hours worked and overtime.
